The Project Manager keeps our projects on schedule, on budget, and fully coordinated from contract to load-out. You’ll run the timelines, track the open items, and make sure every team knows what it owes and when.
No event experience required. We’ll teach you the event side. What we need is someone who has run complex projects with many moving parts and hard deadlines, in construction, architecture, manufacturing, retail rollouts, film, tech, or anywhere else.
Plan and Schedule
– Build and maintain the master timeline for each project, working back from a fixed event date. – Set milestones and deadlines for design, technical review, fabrication, floral, warehouse pull, and logistics. – Spot conflicts across overlapping projects and flag them early.
Coordinate the Teams
– Run project kickoffs and recurring check-ins with each project pod. – Track open items, decisions, and owners so nothing falls between teams. – Keep internal teams and outside vendors aligned on what is due and when.
Budget and Vendors
– Track project spend against budget and flag overages before they happen. – Collect vendor quotes, contracts, insurance certificates, and deliverables. – Work with finance on purchase orders, invoices, and freelancer staffing.
Systems and Reporting
– Keep project data current in our OS and help shape how our internal platform supports project management. – Report project status, risks, and blockers to leadership each week. – Run post-project reviews and turn what went wrong into process changes.
Required
– 2+ years managing projects with many stakeholders, outside vendors, and fixed deadlines, in any industry. – A track record of managing budgets, schedules, and scope on several projects at once. – Highly organized. You keep the tracker current without being asked. – Clear, direct communicator who can hold creative and technical teams to deadlines without slowing them down. – Comfortable in project tools and spreadsheets, and quick to learn new systems.
Nice to Have
– Experience in construction, architecture, fabrication, manufacturing, or production. – PMP or similar certification. – Experience helping build or roll out an internal tool or process.
